ARC Reporting (Activities for the Year 2011)
Progress Reports
If you have an ARC grant that received funding in 2011 and require an extension or carry over of funding to 2012, you will need to complete a Progress Report.
Please note that the template this year is significantly different and shorter in comparison to previous years. For example no publication details are required.
Submission is by email with the Progress Report attached (in the required naming format e.g. [ProjectID]CISurname]) from the lead CI to Rebecca Ford. Please note that this email is in lieu of a signature by the lead CI so therefore cannot be submitted by anyone other than the lead CI. The lead CI is certifying that the information is correct when this email is submitted. This means that if you have had any changes, including to your budget these MUST be reported.
Please note: that if the ARC is not satisfied with the progress of the Project, further payment of funds will not be made until satisfactory progress has been made on the Project. If satisfactory progress is still not achieved, the Funding will be terminated and all outstanding monies recovered by the ARC. Unsatisfactory progress on the Project will be noted against any further proposals under any ARC scheme submitted by, or on behalf of, the Chief Investigator or Fellow and will be taken into account in the assessment of those proposals.

Please note: Progress Reports that are received after Tuesday 17th January 2012 may not be able to be sent to the ARC before their deadline.
Carry Over of Funds
If you have any ARC funds unspent from 2011 you will need to carry these funds over into 2012 and are required to complete a Carry Over justification form.
Checking whether you have funds to carry over
You can check whether you have funds to carry over into 2012 by logging on to TechnologyOne Financials - and running a Financial Report as follows:
- Click on the Reports tab in the menu bar
- Select Faculty/Division Financial Reports Current
- Select CC01 - Cost Collector -Year to Date
- Click on Run tab in menu bar, then
- Enter cost collector no. (10.8xxxx) into Entity / Cost Collector, change Cost Collector Type to Research
- Click Run tab of the 'CC01 Cost Collector - Year to Date' box to run the financial report

Submitting a Carry Over Form
If you need to carry funds over into 2012, you will be required to complete a Carry Forward of Funds request form. Click here to download the form. Note: This form is relevant for all ARC schemes.
All Carry Over amounts will be sent to the ARC to approve. A code is used to classify the reasons for the carry over, and these are listed on the justification form for you to select. In addition to the code, the ARC requires a more detailed explanation in the following circumstances:
- A requested carryover in excess of 75% of the total ARC funding for 2011 and/or:
- Any remaining unspent funds carried over from a previous year that was not spent in 2010, ie, you have previously submitted a Carry Over form to the ARC.
Please note: You will need to include this same information (the reason for the Carry Over) in your Progress Report at Question 3.1 - Have you experienced any difficulties that have affected the progress of the research Project?
The completed Carry Over form should be provided to the Research Office at the same time as you submit your Progress Report. The form should be emailed to Rebecca.Ford@newcastle.edu.au by 5.00 pm Tuesday 17th January 2012.
Unless you hear from the Research Office requesting more information, you should assume that your Carry Over request has been approved.

Final Reports
If you have an ARC Final Report due, this is currently available through GAMS (this will later transfer to the new RMS system).
A Final Report may only be submitted after you have spent all the ARC funds. So if you have a carry forward you need to submit a Progress Report. The Final Report must be submitted within 6 months of the date the last ARC funds are spent (this is either the original project end date or the end date on the carry forward form submitted).
Please be aware that anyone named on an ARC grant which has an outstanding Final Report may be ruled ineligible for future ARC funding.
