Staff Email Project

Overview

In 2013 we are moving staff email from GroupWise to Microsoft Office 365 for Education.

This project involves and affects everybody with a staff email account.

Why move to the cloud?
  • Groupwise is at its end-of-life

  • To improve communications, functionality and reliability

  • To reduce risks surrounding IT infrastructure

  • To reduce operational costs

  • To reduce our carbon footprint

 

Where are we moving to?

We will be joining our students in the Microsoft cloud, moving directly to Office365 for Education - a service accessed via the Internet and hosted by Microsoft on their premises.

 

Who will this move affect?
  • All staff

  • Eligible affiliates

NOTE: This project does NOT affect Students. However, Microsoft has announced that in 2013, all student email accounts will be migrated from Live@edu to Office365 for Education. This migration will be a joint responsibility of IT Services and Microsoft, and will be managed under a separate project.

 

How will this move be achieved?

This move will be a step-by-step process and will include the following stages:

  • "Current state' review, including email policy

  • Clean-up and conversion of inactive mailboxes for retention

  • Develop solution for non-migrateable data (eg. data libraries)

  • Gather business requirements for the new solutions

  • Develop email, calendar and contacts migration plan

  • Build and test approved solutions

  • Pilot migration and assessment

  • Migrate remainder of all mailboxes

 

When will this move happen?

As at May 2013, the project schedule key dates are outlined below, however this may vary as a result of outcomes from the pilot.

March - May 2013

  • Build and test the solutions

May - June 2013

  • Pilot user migrations

June - September 2013

  • Full migration of remaining users
